Appointment Book

The appointment book was completely revised a year or so ago and now has extensive flexibility for showing multiple views of the calendars for each dentist and surgery. The colourings for each dentist can be customised as can many other features and a sophisticated family appointment function adds to the ease of use.

Patient Arrival Login (PAL) With Patient Tracking

PAL (Patient Arrival Login) is an optional patient touch-screen facility for the reception area. Patients log themselves in on arrival at the practice taking the pressure off the reception desk.

The software deals with multiple waiting rooms and surgeries being used by more than one dentist, so on any given session the system can define which surgery and which waiting room the patient will be told to wait in by the system.

PAL also incorporates treatment session time recording which enables later reporting on waiting and in-surgery times, as well as flagging up to the practitioner how many patients are currently waiting, who they are, and how long they have been waiting for. You can apply your own parameters to these waiting times so that the colour indicator changes the longer that patient waits.

The device works over a secure internal WiFi network and enables your practice to become a little more paperless, avoiding the storage of hard copies.

Utilising a sympathetic blend of immediately recognisable graphical images and standard dental symbols, WYSdom’s visually stunning ICONic charting ensures accurate and extremely fast treatment planning.

Both the tooth chart and periodontal chart are fully customisable at an individual dentist/hygienist level including chart colours and charting sequence, both at tooth and quadrant level.

When you choose the options available for a specific treatment they overlay on the actual chart position, making it incredibly easy to see and understand what the plan is for that particular tooth. Codes are simply not required with ICONic.

Perio Chart

The periodontal chart offers many advanced features including the ability to select any two historical charts for direct on-screen comparison as well as separate Lower, Upper, Buccal, Lingual/Palatal and Combined views.

Head & Neck Chart

This chart allows for the marking of elements with detailed notes for each position highlighted.

National Radiation Protection Board (NRPB)

To comply with the NRPB legislation, ICONic has a full recording and reporting function in the X-Ray Module.



The system will allow you to record that a patient has consented to radiographic exposure and reminds you to confirm that the patient is not pregnant. You then have the ability to grade the diagnostic quality of the X-Ray in line with the NRPB guidelines, facilitating reporting either by individual patient or at the practice-level.

Running this report enables you to check that the NRPB guidelines are being met and to determine when appropriate action should be taken, should failure rates exceed the guidelines.

ICONic Phrasebook

ICONic's Phrasebook feature includes an extensive listing of standard phrases (Autonotes) in common use for patient notes and can be customised by adding your own phrases.

Treatment notes can also be tooth-specific, appearing relative to the tooth in question - so no more scanning down a long list of annotations to find the right note!

This again helps reduce chair time and complies with the latest best-practice requirement for accurate and detailed patient records.

Administration Centre and Utilities

The Administration Centre is where you and your team manage the practice on a day to day basis. Once you have set up all the options for how your system operates (in the Utilities module), you can manage your patients, appointments, payments & claims and cashbook.
 
ICONic comes with a comprehensive set of standard reports and all captured data can be reported on. Whether you use one of the management report templates included or decide to develop your own, all the information held in the system is available for analysis and export to industry standard products such as Microsoft Word and Excel.

Patient Messaging - Recalls & Reminders

Having a consistent approach to contacting you patients can make substantial improvements to your recall levels and reduce FTAs significantly.

In the patient record you can note the preferred method of contact for your patient. This gives the patient reassurance rather that they can expect reminders and recalls - showing that you value their custom.
SMS & Email - Contacting your patients by Text and Email is the easiest way of contacting them in today's digital World whilst saving money for your practice and reducing FTAs significantly.
 
The ICONic SMS service links seamlessly to the patient record and reporting system. For example, you can automate delivery of attendance reminders as well as reminders to make appointments. Save around 80% on the cost of a letter by using a text or 100% with an email.

Printed Letters - If you do prefer to still send out a letter to your patients then that can all be done automatically through the Reporting module, where standard letters and labels can be produced either individually or in bulk.

Credit Card Terminal Integration

Card TerminalWYSdom have partnered with Monek & First Data (two of the largest processing companies) to create a payment solution that makes it simple to connect direct to your system.

The solution supports all major credit and debit cards and complies with the highest levels of payment data security between your WYSdom system and the Chip and PIN terminals, and with a choice of fixed hard-wired terminal or wireless.

Key benefits include:

  • Contactless payments including card and mobile phone schemes
  • Removes manual re-keying, risks of human error and of course the time taken to fix mistakes
  • Ensures your customers are never incorrectly undercharged, or overcharged
  • Reduces administration workload so your staff are able to concentrate more on serving your customers
  • Multiple computers can share a single terminal which means you reduce your monthly terminal cost

Internal Messaging

Internal notes can be sent in real-time to a member of staff, or a particular group of people (by job description for example) or to everyone in the practice as a whole.

There is also the facility for messages to be 'actioned' with the confirmation of the completion of a specific task, or simply by opening and reading it, as required.
